Privacy Policy

Your privacy matters to me, not least because coaching only works when you feel safe to be honest. This policy explains what personal information Reut Shalev, operating through Shalev LLC ("I", "me", or "my"), collects through reutshalev.com (the "Website") and in the course of coaching, how I use it, and the choices you have.
1. Who is responsible for your data
Shalev LLC, a Texas limited liability company, is responsible for the personal information described in this policy. If you are in the EU/UK, Shalev LLC is the data controller. You can reach me at reut@shalev.co with any privacy question or request.
2. What I collect
Information you give me
- Booking details: your name, email address, time zone, and any notes you add when you book a session through the scheduling calendar.
- Payment details: payment is handled by third-party payment processors. I receive confirmation that you have paid and the last digits of your card; I never see or store your full card number.
- Pre-session and session information: answers to the short reflection form, and what you choose to share with me during sessions. I keep brief, private notes to support our work together.
- Correspondence: emails or messages you send me.
Information collected automatically
- Technical data: the Website is hosted on Cloudflare, which processes standard server logs (IP address, browser type, pages requested, timestamps) to deliver the site securely and protect it from abuse.
- Embedded services: the booking calendar on the booking page is provided by TidyCal and loads from TidyCal's servers; fonts are loaded from Google Fonts. These providers may set their own cookies or collect technical data when the relevant page loads.
I do not use advertising trackers, and I do not sell personal information to anyone.
3. Sensitive information
Coaching conversations may naturally touch on health, relationships, beliefs, or other sensitive topics. I collect such information only because you choose to share it, and I use it solely to provide coaching to you. By sharing it, you consent to my handling it for that purpose. You are always free to share as much or as little as you wish.
4. How I use your information
- to schedule, confirm, deliver, and follow up on coaching sessions;
- to process payments and keep accounting records;
- to communicate with you about your bookings and respond to your questions;
- to maintain private session notes so that our work has continuity;
- to operate, secure, and improve the Website;
- to comply with legal obligations, such as tax and record-keeping requirements.
I will only send you marketing emails (for example, a newsletter) if you have expressly opted in, and every such email will include an unsubscribe link.
5. Legal bases
Where data-protection law (such as the EU/UK GDPR) requires a legal basis, I rely on: performance of a contract (delivering the sessions you book); legitimate interests (running and securing the Website, keeping business records, responding to enquiries); legal obligation (tax and accounting); and consent (sensitive information you choose to share, and any marketing emails).
6. Who I share it with
I share personal information only with service providers who help me run the practice, and only to the extent needed:
- Scheduling: TidyCal (booking calendar and reminders)
- Payments: the payment processor used at booking (for example Stripe or PayPal)
- Video calls: the video-conferencing platform named in your booking confirmation
- Email: my email provider
- Hosting and security: Cloudflare
Each provider processes data under its own privacy policy and, where applicable, a data-processing agreement. I may also disclose information if required by law, to protect someone's safety, or with your explicit consent. Session notes are never shared with anyone, subject to the confidentiality exceptions described in theTerms of Service.
7. International transfers
Some of the providers above operate outside your country, including in the United States. Where required, transfers are protected by appropriate safeguards such as standard contractual clauses or an adequacy decision.
8. How long I keep it
- Booking and payment records: for as long as required by tax and accounting law (generally seven years).
- Session notes and reflection forms: for the duration of our work together and up to two years afterwards, unless you ask me to delete them sooner.
- Correspondence: as long as needed to respond to you and keep a record of our exchange, then deleted.
- Server logs: retained by Cloudflare for a short period under its own policy.
9. Security
I take reasonable technical and organisational measures to protect your information, including using reputable providers with encryption in transit, restricting access to session notes to myself alone, and using strong, unique passwords with two-factor authentication. No method of transmission or storage is completely secure, so I cannot guarantee absolute security.
10. Your rights
Depending on where you live, you may have the right to:
- access the personal information I hold about you;
- correct inaccurate or incomplete information;
- ask me to delete your information;
- restrict or object to certain processing;
- receive a copy of your information in a portable format;
- withdraw consent at any time, where processing is based on consent;
- lodge a complaint with your local data-protection authority.
To exercise any of these rights, email reut@shalev.co. I will respond within 30 days. I may need to verify your identity first. Some information may need to be kept where the law requires it.
11. Cookies
The Website itself does not set tracking cookies. Embedded third-party services (the booking calendar, Google Fonts, and Cloudflare's security features) may set strictly necessary or functional cookies in order to work. You can control cookies through your browser settings; blocking them may prevent the booking calendar from loading.
12. Children
The Website and my services are intended for adults aged 18 and over. I do not knowingly collect personal information from children. If you believe a child has provided me with information, please contact me and I will delete it.
13. Changes to this policy
I may update this policy from time to time. The "last updated" date at the top will change, and for significant changes I will let existing clients know by email. Continued use of the Website after an update means you accept the revised policy.
